Privacy Policy
The short version
We collect what you give us and a little about how you use the site. We use it to deliver the programme and to stay in touch. We do not sell it, and we do not share it with anyone who is not helping us run the practice. You can ask to see it or have it deleted at any time.
1. Who we are
Ray Rivers, trading as Relationship Remedy™, of 10015 Old Columbia Road, Columbia, Maryland 21046. Contact: rayriverstherapy@gmail.com or (301) 220-6955.
2. What we collect
What you give us
- Your name, email address and phone number, when you book a call, enrol, or subscribe to Ray’s emails.
- Your billing details, when you enrol. Card numbers are handled by our payment provider and never reach us.
- What you tell us about your relationship — in the intake questionnaire, in sessions, and in correspondence.
That last category is sensitive by nature. It is treated with more care than anything else we hold, and section 6 sets out the limited circumstances in which it can be disclosed.
What we collect automatically
- Pages visited and how far down them you read.
- Which email or advertisement brought you here, where that information is available.
- Your general location, derived from your IP address at country or city level, and your browser and device type.
We do not use this to identify you personally unless you have also given us your details.
3. Why we use it
- To deliver the programme — scheduling, preparation, the work itself, and keeping records of it.
- To communicate with you — confirmations, reminders, and the material you asked for.
- To send you Ray’s emails, where you subscribed or became a client. Every one has a one-click unsubscribe and we act on it immediately.
- To improve the site — understanding which pages help people and which lose them.
- To meet legal and professional obligations, including record retention.
We do not sell your personal information, and we never have. We do not share it with advertisers or data brokers.
4. Who else handles it
We use third-party services to run the practice. Each only receives what it needs, and each is bound to use it only on our instructions. [CONFIRM — check this list matches what is actually connected before publishing, and add anything missing.]
- GoHighLevel — contact records, scheduling, and email delivery.
- Mailchimp — email list management and campaign delivery.
- Stripe — payment processing. They receive your card details directly; we receive only confirmation and the last four digits.
- Hostinger — website hosting.
- Google Fonts — typefaces, which involves your browser contacting Google’s servers.
- A video conferencing provider, for remote sessions.
We may also disclose information where the law requires it, as set out in section 6.
5. Cookies and similar technologies
The funnel stores a small amount of information in your browser — your name and email if you have given them, so forms arrive prefilled, and a record of where the visit came from. This lives on your own device and can be cleared at any time through your browser settings.
Embedded services, such as the booking calendar and the payment form, set their own cookies under their own policies.
6. Confidentiality of what you tell Ray
What you share in the questionnaire and in sessions is confidential and is not disclosed outside the practice, except where:
- You give written permission;
- There is reason to believe a child, an older adult or a vulnerable adult is being abused or neglected;
- There is a serious and imminent risk of harm to you or to another identifiable person;
- A court order, subpoena or other legal obligation requires it.
Section 7 of the Client Services Agreement explains how information is handled between two partners, which is not the same thing as confidentiality from the outside world. Read it before enrolling.
[CONFIRM — whether HIPAA applies to any part of Ray’s practice. If it does, a HIPAA Notice of Privacy Practices is required in addition to this policy, and several of the statements above will need to be reframed.]
7. How long we keep it
- Client records — for as long as professional and legal obligations require, and no longer than necessary after that.
- Marketing contacts — until you unsubscribe or ask us to delete you, and then only what we must keep to honour the unsubscribe.
- Website analytics — in aggregate, indefinitely; individually, no more than 24 months.
8. How it is protected
The site runs over HTTPS. Access to client records is limited to Ray and to staff who need it. Payment details never touch our systems.
No system is perfectly secure, and we cannot guarantee absolute security. If a breach ever affects your information, we will tell you and the relevant authorities as the law requires.
9. Your rights
You can ask us at any time to:
- Tell you what we hold about you;
- Correct anything wrong;
- Delete it, subject to records we are professionally or legally required to keep;
- Stop sending you marketing — the fastest route is the unsubscribe link in any email;
- Provide a copy in a portable format.
Email rayriverstherapy@gmail.com. We respond within 30 days and will not charge you or treat you differently for asking.
10. Children
This site and this programme are for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, tell us and we will delete it.
11. Changes
We may update this policy. The version and date at the top of the page tell you which one is current. Where a change materially affects how we use your information, we will tell current clients and subscribers directly rather than relying on you to check.
